Rostering Options: How Do I Choose?

Overview

Welcome to Data Onboarding! Wayfinder offers several onboarding methods to roster your admin, classes, teachers, and students into Wayfinder. 

Whichever method you choose, please ensure these Wayfinder domains are allowlisted.

Rostering Methods

Manual + Class Code Rostering by School Teachers and Staff

  • Technical Expertise Required: Basic
  • Manual Work Required: Significant
  • Best Suited For: Small schools with limited technical expertise and without Clever, ClassLink, or SFTP access.

This is the default option in Wayfinder. This method allows admin to add teachers, classes, and students, and allows teachers to add students. Users will enter information such as names and emails to invite others to Wayfinder. Teachers can also hand out a QR or 6-digit code for students to easily join a classroom.

Manually rostering does have some downsides. First, staff and teachers could potentially overwrite each other, duplicate students, or make other errors. Manual work is required to add all classes, teachers, and students to the system. We don't recommend manual rostering for schools or districts with more than 50 students.

Google Classroom Rostering

  • Technical Expertise Required: Basic
  • Manual Work Required: Moderate
  • Best Suited For: Small schools that already use Google Suite, specifically Google Classroom

This option allows individual teachers to invite students from existing Google Classrooms. This type of rostering may not be conducted by administrators for teachers in bulk, as it requires the user creating the classroom to be logged into their corresponding Google account.

Rostering By Flat File

  • Technical Expertise Required: Moderate
  • Manual Work Required: Moderate
  • Best Suited For: Larger schools with moderate technical expertise without Clever, ClassLink, or SFTP access.

Rostering via flat file requires users to create 4 data spreadsheets, save them as .csv files, zip them, and upload them. You may choose to manually upload them periodically or automate the upload via SFTP. Some users may also care to roster via flat file once, and then switch back to manual rostering (see this article for more information).

SFTP Data Sync

  • Technical Expertise Required: Significant
  • Manual Work Required: Minor after setup
  • Best Suited For: Districts or larger schools with significant technical expertise without Clever or ClassLink

SFTP Data Sync takes Flat File rostering one step further by automating flat file processing from an SFTP server, which can be pushed at will. Wayfinder is unable to provide individualized guidance on the SFTP functionality of individual programs or SIS platforms.

Clever Rostering

  • Technical Expertise Required: Moderate
  • Manual Work Required: Minor after setup
  • Best Suited For: Anyone using Clever Rostering

Using Clever is a convenient way to roster your data into Wayfinder. In this scenario, most student, class, and teacher management is locked down, and Clever becomes your source of truth. There are some requirements: you must use Clever and send Clever class and teacher data.
